Job Opportunity: Events Coordinator

As the Events Coordinator, you will support the Head of Events in orchestrating external and internal events, globally.

This role involves managing the nuts and bolts of event planning and execution, including coordination with local vendors, handling logistics, managing company merchandise stock, and ensuring our internal events are as impactful as our external ones.

Responsibilities:

  • Assist in the planning and execution of Flare Network’s global events calendar, encompassing both offline (in-person) and online (virtual) events. This includes hackathons, conferences, meetups, internal company events and virtual events such as workshops, X Spaces etc.
  • Take charge of end-to-end event logistics, ensuring seamless execution whether events are held on-site at venues or hosted on digital platforms.
  • Source and manage relationships with local service providers, such as AV, branding, photographers, videographers, and translators if needed across multiple markets.
  • Manage and track inventory of company merchandise, ensuring adequate stock levels for events and coordinating distribution to each event.
  • Oversee the organisation of internal events, fostering team culture and ensuring these events align with our strategic goals.
  • Coordinate with the marketing team for the promotion of events and effective branding through merchandise and promo materials.
  • Negotiate with vendors and venues to secure favourable terms and maintain budgets.
  • Manage travel arrangements for the team attending these events, including booking flights and hotels, ensuring comfort and efficiency in travel logistics.
  • Conduct post-event evaluations to gather insights and improve future event experiences.
  • Be ready to travel and work flexibly across different time zones to meet the needs of a global event schedule.

Requirements:

  • Previous experience in event coordination, with a proven track record of successful event execution.
  • Exceptional organisational skills and the ability to manage multiple projects simultaneously.
  • Strong communication abilities and adeptness in negotiating with vendors and service providers.
  • An understanding of merchandise management, from procurement to stock control and distribution.
  • Cultural awareness and the capacity to adapt events to diverse audiences across various regions.
  • Enthusiasm for working in a fast-paced, collaborative environment.
  • Willingness to travel internationally and work flexible hours to cover events across different time zones.
  • Proficiency in using event management software and tools, as well as standard office applications.
